§ 1. Subject of the Terms and Conditions

1.1 These terms and conditions, hereinafter referred to as the "Terms and Conditions," apply to the premises of the SeaSide Sopot hotel, located in Sopot, and apply to all individuals present on its premises.

1.2 Within this document, the person renting rooms is referred to as the "Guest," and the SeaSide Sopot facility as the "Property." A reception staff member is responsible for Guest care.

1.3 The Terms and Conditions specify the rules for using the Property's services, the duties of Guests, and regulate the conditions of stay within the Property. They constitute an integral part of the rental agreement, which is considered concluded at the moment of making a reservation, paying a deposit or the total fee for the stay, or signing the registration card by the Guest. Performing the above actions by the Guest constitutes confirmation of having read the Terms and Conditions, their acceptance, and the commitment to abide by their provisions.

§ 2. Hotel Day

2.1 Rooms at the Property are rented for daily periods.

2.2 The hotel day starts at 14:00 and ends at 11:00 the next day from October to April. In other months, the start of the hotel day is moved to 15:00, with the same end time.

2.3 If the Guest did not specify the length of stay when concluding the rental agreement, it is assumed that the room was rented for the period of one hotel day.

2.4 Requests to extend the hotel day should be reported by the Guest at the reception no later than 10:00 on the day the current hotel day ends. The decision on the possibility of extending the stay belongs to the reception staff and may depend on the availability of free rooms.

2.5 For staying in the room after the designated check-out time, without prior agreement on the extension of the hotel day, an additional fee of 50 PLN will be charged for each started hour of the extension. In the case of exceeding the start time of a new hotel day, the cost of an additional day will also be charged, according to the current price list.

2.6 Check-in before the official start of the hotel day is only possible after prior arrangement with the reception and subject to the consent of the reception staff. An additional fee of 100 PLN is charged for check-in before 11:00.

§ 3. Reservation and Check-in

3.1 A room reservation can be made online, by phone, or in person at the Property.

3.2 After making a reservation, the Guest will receive a confirmation of the reservation terms by email, which also includes information about the payment of a deposit amounting to 30% of the planned stay's value. For reservations for one day, the deposit value is 100% of the stay's price.

3.3 If the deposit is not paid within the specified period, the Property reserves the right to cancel the reservation and make the room available to other people. A deposit paid after the deadline will be returned to the Guest within 14 working days from the date the Property cancels the reservation.

3.4 Upon receiving the deposit in the Property's bank account, the Guest receives a guaranteed reservation agreement by email.

3.5 In the event of the Guest canceling a guaranteed reservation more than 30 days before the planned arrival date, the Property will refund the deposit amount in the form of a voucher.

3.6 In the event of the Guest canceling a guaranteed reservation within the period of 29-14 days before the planned arrival date, the Property will refund 50% of the deposit value in the form of a voucher.

3.7 In the event of the Guest canceling the reservation less than 14 days before the planned arrival date, the Property will not refund the deposit amount, and the Guest will be charged the full cost of the reservation. In special, justified cases, the Guest may be charged the cost of the first night of the planned stay.

3.8 Canceling a non-refundable reservation does not result in a refund of the deposit, regardless of the cancellation date.

3.9 In the event of changing the reservation date, converting the deposit into a voucher, or canceling previously postponed reservations, deposit refund issues will be considered individually.

3.10 In the case of making a reservation shortly before the planned arrival, electronic correspondence from the Guest will be treated as an order and will be subject to standard reservation cancellation terms. The Property reserves the right to pre-authorize the Guest's credit card or withdraw funds from it amounting to 30% of the stay's value, treating this payment as a deposit.

3.11 The basis for the Guest's check-in is the presentation of a photo ID to the reception staff and signing the registration card.

3.12 The Guest does not have the right to transfer the rented room to third parties, even if the period for which they paid for the stay has not expired.

3.13 Unregistered persons may stay in the Guest's room as visitors from 8:00 to 22:00. For violating this provision, the Property may impose a contractual penalty on the Guest in the amount of 300 PLN.

3.14 The Property may refuse to accept a Guest who violated the regulations during a previous stay, causing damage to the Property's or its Guests' property, employees, or other individuals, or disrupted the peace of other Guests or the operation of the Property.

3.15 The Property reserves the right to refuse to accept a Guest without giving a reason.

3.16 The Property reserves the right to pre-authorize the Guest's credit card or collect the total amount due for the stay at the time of check-in.

3.17 Additional charges arising from the stay must be settled by the Guest no later than on the day of departure.

3.18 In the event of the Guest leaving the Property before the date specified in the guaranteed reservation agreement, the difference in the cost of the stay will not be refunded.

3.19 The Guest's no-show at the Property on the date specified in the guaranteed reservation agreement results in no refund of the deposit.

3.20 In the event of the Guest canceling the purchased breakfast offer, the Property will not refund the equivalent amount. The Guest may receive a voucher for the refund amount, reduced by 15%, to be used in the Dorsz&Przyjaciele restaurant during its operation.

3.21 Staying with pets is allowed only after obtaining explicit consent from the Property. In such a case, an additional fee of 80 PLN per day is charged.

§ 4. Services

4.1 In case of complaints about the quality of provided services, please report them immediately at the reception, which will enable the Property's staff to respond quickly.

4.2 The Property commits to providing conditions for full and unrestricted relaxation for the Guest, guaranteeing the safety of the stay, protecting personal data, professional and courteous service in all provided services, performing necessary repairs of devices during the Guest's absence or in their presence if the Guest agrees, and to changing the room, subject to availability, or another form of compensation for inconveniences related to defects in the room that cannot be removed.

4.3 At the Guest's request, the Property provides the following services free of charge: providing information related to the stay and travel, lending an iron and ironing board for use in designated areas.

4.4 At the Guest's request, the Property provides the following services for a fee: room service, scanning and printing documents, renting Nordic Walking poles, changing bed linen or towels more often than every three days, additional cleaning.

4.5 The Property provides Guests with parking spaces on the premises of the Pomorskie Centrum Reumatologiczne im. dr Jadwigi Titz-Kostko in Sopot, for an additional fee. On weekdays, two parking spaces are available, and from Friday at 15:00 to Sunday at 20:00 - three spaces. For occupying a parking space longer than until 20:00 on Sunday, an additional fee of 200 PLN is charged, payable to the parking service.

4.6 The desire to reserve a parking space should be reported at the reception no later than on the day of check-in. Confirmation of the parking space reservation is an email sent to the Guest by the Property's staff.

§ 5. Property's Liability

5.1 The Property is liable for the loss or damage of items brought by individuals using its services, to the extent specified by the provisions of Articles 846-849 of the Civil Code, unless the parties agreed otherwise.

5.2 The Guest should immediately report the occurrence of damage at the reception.

5.3 The Property is not responsible for the theft of money, securities, valuables, or items of scientific or artistic value if they were not deposited in the safe.

5.4 In the event of the loss of the items mentioned above, compensation does not exceed the sum specified in the regulation of the Minister of Justice dated July 24, 1998, on limiting the liability of persons conducting hotel or similar activities (Journal of Laws of 1998, No. 117, item 756, as amended).

5.5 The Property reserves the right to refuse to accept for deposit items of high value, significant amounts of money, items threatening safety, or large-sized items that cannot be placed in the safe.

§ 6. Guest's Liability

6.1 In the event of a fire, follow the evacuation signs towards the exit, maintain a safe distance after leaving the building, and call the fire department by dialing

6.2 Children under 12 years of age should be under constant supervision of their legal guardians on the Property's premises, who bear full material responsibility for any damage caused by the children.

6.3 The Guest bears full material responsibility for all damage or destruction of equipment and technical devices of the Property, caused by them or by visitors. An indicative price list of repair costs for possible damages is attached to these Terms and Conditions.

6.4 The Property reserves the right to charge the Guest's credit card for damages found after their departure. In the absence of credit card details, the Property has the right to demand from the Guest financial compensation covering the costs of repairing damages and losses due to lost revenue if the damage resulted in the need to remove the room from sale. The value of lost revenues will be calculated according to the current price list for the room for the period it was removed from sale.

6.5 In the event of any defects or damages in the room, the Guest is obliged to immediately notify the reception staff.

6.6 In the event of the Guest violating the provisions of the Terms and Conditions, the Property may refuse to continue providing services. The Guest is obliged to immediately settle the dues for the stay and any damages and to leave the Property.

6.7 For safety reasons, when leaving the room, the Guest is obliged to close the windows, disconnect electrical devices, turn off the taps, and lock the door.

6.8 The Property has a statutory right of lien on the items brought by the Guest to the Property in case of delay in settling the dues for the provided services.

6.9 In the event of the need for the Property's staff to come to the premises after the reception's working hours, especially at night, caused by the Guest's actions, the Property has the right to charge an additional fee of 150 PLN. An additional fee will also be charged in the event of the Guest losing keys or an electronic access card to the room or the Property.

§ 7. Return of Left Behind Items

7.1 Personal items left behind in the room by the departing Guest will be sent at their expense to the provided address.

7.2 If the Guest does not provide the Property with instructions regarding the return of left-behind items, the Property will store them at the owner's expense for three months, after which they will become the Property's property. Food items will be stored for 24 hours.

§ 8. Nighttime Quiet Hours

8.1 Quiet hours in the Property are observed from 21:00 to 08:00 the next day.

8.2 The behavior of Guests and individuals using the Property's services should not disturb the peaceful stay of other Guests. The Property has the right to refuse to continue providing services to individuals violating this principle and may remove such a Guest from the Property without the right to compensation for the shortened stay.

§ 9. Final Provisions

9.1 For fire safety reasons, the use of open flames, such as candles, and the use of electrical devices not part of the room's equipment, such as electric irons, is prohibited in the rooms.

9.2 The Property has a total ban on smoking tobacco products. If this ban is violated, the Guest will be charged the costs of refreshing the room in the standard amount of 750 PLN. In the event of the fire alarm system being activated and the arrival of the fire department due to the violation of the smoking ban, the Guest will be additionally charged 750 PLN.

9.3 The possession and use of illegal drugs are strictly prohibited. In the event of a violation of this ban, the Property will report the matter to the Police, and the Guest will have to leave the Property immediately without the right to a refund for the shortened stay.

9.4 It is forbidden to store dangerous items in the rooms, such as weapons, ammunition, flammable materials, pyrotechnic devices, etc.

9.5 Guests' personal data is processed to provide services by the Property. The data controller is PHU OMEGA Dagmara Szamborska, in accordance with the Regulation of the European Parliament and of the Council (EU) 2016/679 of April 27, 2016. Full information on personal data processing is available in the annex to these Terms and Conditions, on the seasidesopot.com website, and at the reception.

9.6 Door-to-door selling and peddling are prohibited on the Property's premises.

9.7 Excessive noise, emitting unpleasant odors, and performing other activities that may disturb, harm, or irritate other Guests of the Property are prohibited.

9.8 Guests are not allowed to make changes to the equipment and layout of the rooms, except for minor rearrangements of furniture and devices, without affecting their functionality and safety.

9.9 Any complaints regarding the stay should be directed to the Property's management by email at hotel@seasidesopot.com.

9.10 The Property's reception

is open from 9:00 to 17:00 during the summer season (from July 1 to September 15) and from 9:00 to 15:00 outside the summer season (from September 16 to June 30).

9.11 Outside the reception's working hours, in urgent matters, you can contact the Property at +48 513 122 041.

9.12 The court competent to resolve any disputes between the Guest and the Property is the local court appropriate for the headquarters of SeaSide Sopot in Sopot.

9.13 The operator of payment card transactions is PayPro SA Settlement Agent, ul. Kanclerska 15, 60-327 Poznań, entered into the Register of Entrepreneurs of the National Court Register kept by the District Court Poznań - Nowe Miasto and Wilda in Poznań, VIII Commercial Division of the National Court Register, under the KRS number 0000347935, NIP 7792369887, Regon 301345068.

9.14 Consenting to stay at the Property is equivalent to accepting the provisions of these Terms and Conditions.
